Vendor Load-In Details

IMPORTANT INFORMATION FOR ALL VENDORS & THEIR STAFF

Important parking rules below. Remember – All vendor vehicles must be in the vendor parking lot during the event.

EVENT DATES AND HOURS
May 24, 25, 26:  Saturday, Sunday, and Monday

Gates open at 12:00PM
Event closes at 6:00PM
Last call is at 5:30PM

DO NOT BE LATE TO THE FESTIVAL!

  • All vendor vehicles must be in the vendor lots by 10:30am.
  • Plan on having your booth fully set-up by 11am.
  • No one will be allowed to drive into the field area after 11am. No exceptions.
  • At 11am on Festival days all arriving vendors and their staff will be directed to the attendee parking lot and must walk to the field from there.

LOADING-IN AND OUT:

  • There is absolutely, positively– NO DRIVING ON THE GRASS. NOT EVEN TO TURN AROUND.
  • A $500 fine will be levied upon any vendor who drives on the grass.
  • If you are located on the grass, please bring what you need to carry or transport your supplies to your booth space, because there is no driving on the grass. Thank you.

LOAD-IN HOURS

  • Friday, May 23: 10AM – 6PM (overnight security will be on-site)
  • Saturday, May 24: 8AM – 11:00AM
  • Sunday, May 25: Venue opens for vendors at 9am
  • Monday, May 26: Venue opens for vendors at 9am
  • NOTE: Vendors will not be allowed to drive in to the event area after 10:30am. Vendors and their staff arriving after 10:30am must use the attendee lot.
  • The Event Starts at 12PM

LOAD-OUT

  • Everything must be removed on Monday after the festival. No exceptions.
  • All trash must be placed IN the blue trash bins on the field. Vendors who leave trash on the ground or in their area will be fined $250.
  • WINERIES are responsible for disposing empty wine bottles on MONDAY ONLY. Our staff will collect on Saturday and Sunday.

RUNNING LATE? LOST?

  • During load-in or the event, if something comes up that will prevent you from opening your booth on-time, you must call Lorianna at: (505) 301-2418.

  • When VENDORS arrive and load-in:
    • Be sure to have a parking permit (see below) on your dashboard with your name and phone number.

PARKING PERMITS

  • Every vehicle pulling into the festival grounds must have a parking permit on the dashboard.
  • Staff parking in the attendee lot do not need them.
  • Please print a permit and bring it with you.
  • Vehicles without a permit may be towed.

PARKING

  • The vendor parking permit form must be filled out and placed in every vehicle parked onsite.
  • Vehicles without a permit may be towed.
  • No vehicles may drive into the event site after 10:30AM.
  • You may not remove your vehicle from inside the gates until after the event has ended.
  • If you plan on having to leave during the day, please use the attendee parking lot.
  • Staff arriving after 11AM? Direct them to use Attendee Parking and identify themselves as a vendor staff member at the entrance gate.

FOR WINERIES

WINE SAMPLING & SALES HOURS:

  • Sampling & Sales start at 12:00PM each day.
  • Sampling and glass sales END at 5:30PM.
  • You may sell bottles up through closing time of 6:00PM.

WINE SAMPLING:

  • We recommend .5 ounce samples and using auto-pour toppers
  • All General Admission wine sampling glasses will have “nmwine.com” printed at the .5 ounce pour line.
  • There is no “full glass” pour line indicated on any glass.

RESERVE TENT SAMPLING & SALES:

  • Reserve Wine Tent is open Saturday & Sunday, 1pm – 4pm. Please see your email for details.

FOR ALL VENDORS

RESERVE WINE TENT (VIP experience)

  • The Reserve Wine Tent, located on the southeast corner of the field
  • Open Saturday & Sunday, 1pm – 4pm only.
  • An add-on to tickets. Limited capacity/400 people per day.

FOR ALL TENTED VENDORS

  • When you arrive, the side walls will be up on all tents.
  • You are responsible for taking down and putting up your own side walls at the beginning and end of each day.
  • We suggest bringing a step stool and zip ties to close your tent.

NON-WINERY TENTED VENDORS RECEIVE

  • 1 uncovered 8ft tables, bring your own tablecloth.
  • 1 chairs

BRING YOUR OWN

  • Trash can for your booth
  • Banners and signage – and the means to hang them. (bungee cords).
  • Table cloths

VENDOR BADGES

  • Vendor wristbands will be distributed at Load-In.
  • Vendor wristbands are required to be worn by all vendors and their staff while walking around the grounds of the event.
  • Wristbands may be transferred among employees.

SECURITY:

  • There is overnight security on Friday, Saturday, and Sunday nights.
  • Everything must be removed on Monday after the festival.

ICE

  • There will be an ice vendor located north of the music stage throughout the event.
  • Approximate price: $2.00 per 8lb bag.
  • They will be onsite at 10:00AM each day.

FOOD VENDORS

  • Do not forget your hand-washing station as required by the City Of Albuquerque.
  • The health department will be inspecting vendors on Saturday.

WIFI ACCESS

There is no Wifi at Balloon Fiesta Park

ATMs

We will have an ATM set up inside the event.

TRASH

  • DO NOT LEAVE ANY TRASH BEHIND.
  • Failure to remove ALL of your trash, including boxes, gray water, etc, will prevent you from taking part in future events.
  • We will have dumpsters onsite.
  • Vendors are responsible for getting their trash to the dumpsters after the festival.
  • During the event, if your in-booth trash fills up, you may empty it into one of the large trash bins located throughout the event.

ELECTRICITY

  • If you ordered electricity, you must bring with you no less than 100 FEET of grounded (3 prong) extension cord(s) and power strips.
  • Cords must be in good condition.
  • The fire marshal will disconnect any cords that are frayed or taped together or pose a fire risk.
  • POWER HOURS: 10:30AM – 6:30PM. Generators will be turned on at 10:30am and off at 6:30pm, Saturday, Sunday, & Monday.
